Privacy Policy

How the After-School Music Program collects, uses, shares, retains, and protects family information.

This Privacy Policy explains how the Program collects, uses, shares, retains, and protects information submitted through its website, registration forms, payment systems, email, and program administration. It applies to Naples Music Academy's operation of the After-School Music Program. Community School of Naples and third-party services may maintain separate privacy policies for information they collect directly.

1. Information We Collect

Parent or guardian information may include name, relationship to the student, email address, telephone number, mailing address, billing details, authorized-pickup information, and communications with the Program.

Student information may include name, date of birth or age, grade, school affiliation, instrument, playing experience, musical interests, availability, placement history, attendance, lesson notes, performance participation, and information needed for safe participation, such as emergency contacts, allergies, medical conditions, accessibility needs, or accommodations.

Technical and transaction information may include IP address, browser and device information, form-submission records, email delivery data, cookies or analytics data, invoice status, payment method type, amount, date, and transaction identifier. The Program does not intend to store complete payment-card numbers; card information is processed by the payment provider.

2. How We Use Information

We use information to review registrations; form compatible groups; assign instructors; schedule lessons and rooms; communicate with families; process tuition and fees; maintain attendance and program records; coordinate concerts and recitals; respond to questions; support student safety; provide accommodations; investigate concerns; improve the Program; comply with school requirements; and meet legal, accounting, insurance, and contractual obligations.

3. How Information Is Shared

We may share information on a need-to-know basis with assigned instructors; authorized Program administrators; CSN personnel involved in campus access, scheduling, safety, or program coordination; payment processors; registration and form providers; email, cloud-storage, spreadsheet, website, accounting, background-screening, and IT providers; insurers and professional advisers; and government, law-enforcement, or emergency personnel when required by law or reasonably necessary to protect health, safety, rights, or property.

We do not sell student or parent personal information. We do not use student information for targeted advertising. Service providers may use information only as permitted by their contracts and their own legal obligations. We may disclose aggregated or de-identified information that does not reasonably identify a family or student.

4. Payments

Online payments are processed by Stripe. The payment provider collects and processes card or bank information under its own privacy and security terms. The Program generally receives transaction details, payment status, and limited account information rather than complete card numbers. Families should review the payment provider's privacy notice before paying.

5. Children's Privacy and Parent Control

The website and registration process are intended for parents and legal guardians, not for children under 13 to submit personal information independently. A parent or guardian should complete the form and authorize the Program's collection and use of student information. If we learn that a child under 13 submitted personal information without verifiable parent or guardian involvement, we will take reasonable steps to delete it or obtain appropriate consent.

Parents and legal guardians may ask to review, correct, or delete their child's personal information by contacting ismail@naplesmusicacademy.com. We may need to verify identity and authority before acting. Some information may be retained when required for safety, legal, accounting, insurance, dispute-resolution, or recordkeeping purposes. Deletion may make continued participation impossible when the information is necessary to administer lessons safely.

6. Photographs, Video, Audio, and Student Work

Promotional use of an identifiable student's photograph, video, audio recording, performance, name, or student work is based on a separate media-consent selection. Families may decline promotional consent without losing lesson eligibility and may later withdraw consent for future use by writing to ismail@naplesmusicacademy.com. Withdrawal does not require removal of material already lawfully printed, published, distributed, or incorporated into completed media.

7. Cookies, Analytics, and External Links

The website may use necessary cookies and limited analytics to operate forms, remember preferences, understand general site traffic, and improve usability. The site may link to instrument-rental companies, payment providers, form providers, or other third parties. The Program does not control and is not responsible for third-party privacy practices. Families should review those policies before providing information.

8. Data Retention

We retain information only as long as reasonably necessary for placement, instruction, safety, administration, legal compliance, accounting, insurance, and dispute resolution. Retention periods vary by record type. When information is no longer needed, we take reasonable steps to delete, destroy, or de-identify it. Backup copies may remain for a limited period until routine deletion cycles are completed.

9. Data Security

We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information, including limiting access to people who need it for Program duties and using reputable service providers. No website, email, cloud system, or electronic transmission can be guaranteed completely secure. Families should not send highly sensitive medical or financial information by ordinary email unless specifically requested through an approved method.

10. Access, Correction, Deletion, and Complaints

A parent or legal guardian may request access to, correction of, or deletion of information maintained by the Program, or raise a privacy concern, by contacting ismail@naplesmusicacademy.com. Please identify the student and the request without sending unnecessary sensitive information. We will respond within a reasonable period and as required by applicable law. We may deny or limit a request when necessary to protect another person, preserve required records, maintain safety, prevent fraud, or comply with law.

11. Security Incidents

If we determine that personal information has been affected by a security incident requiring notice under applicable law, we will provide legally required notices and take reasonable steps to contain and address the incident.

12. Policy Updates and Contact

We may update this Privacy Policy as the Program, website, providers, or legal requirements change. The revised policy will show a new effective date. Material changes affecting enrolled families will be communicated when appropriate.
