Policies for parents and students of the After-School Music Program at Community School of Naples.

These Terms and Program Policies govern registration and participation in the After-School Music Program administered by Naples Music Academy in collaboration with Community School of Naples (“CSN”). By registering a student, the parent or legal guardian agrees to these policies on the student's behalf.
1. Parent or Guardian Authority
The person submitting a registration represents that they are the student's parent or legal guardian, or are otherwise legally authorized to enroll the student, receive program communications, make payments, and provide the permissions and emergency information requested during registration. Students may not register themselves without parent or guardian involvement.
2. Lesson Formats and Program Scope
The Program may offer private lessons for one student in 30-, 45-, or 60-minute sessions; duo lessons for two students in a 45-minute session; and small-group lessons for three to six students in a 45-minute session. Offerings may include strings, woodwinds, brass, and piano and may expand or change as enrollment and instructor availability develop.
The Program is designed to support beginning students and to complement CSN's established band, orchestra, jazz, chamber-music, and other school music offerings. It does not replace CSN coursework, ensemble participation, or the direction of CSN faculty.
3. Registration, Placement, and Enrollment
Registration is a request for placement, not a guarantee of enrollment. Placement depends on instrument, age, experience, compatible availability, instructor availability, campus space, required instructor clearances, and sufficient enrollment. Groups are generally formed with three to six compatible students.
If an appropriate placement is unavailable, the registration may be kept on file and the family may be contacted when a suitable opening becomes available. No tuition is due until placement, schedule, and billing details are confirmed. Families must promptly review and accept the offered placement by the stated deadline or the opening may be offered to another student.
4. Tuition, Fees, and Payment
Current tuition is $35 per student for each 45-minute group lesson; $55 per student for each 45-minute duo lesson; and $60 for a 30-minute private lesson, $80 for a 45-minute private lesson, or $100 for a 60-minute private lesson. A $55 annual registration fee is charged once per student per academic year after placement is confirmed. Card payments may include a 3% processing fee where permitted by law and disclosed at checkout.
The family will receive the confirmed lesson schedule, amount due, due date, and available payment methods before payment is required. On-campus instructors may not collect separate tuition from families for Program lessons. Families are responsible for timely payment. The Program may pause participation or release a placement when an account remains unpaid after written notice.
Published rates may be changed prospectively with advance notice. A rate change will not retroactively alter charges already paid or invoiced for an agreed billing period.
5. First-Lesson Trial, Withdrawal, and Refunds
A family may withdraw during the first-week trial period by notifying the Program in writing before the student's second scheduled lesson. In that case, any tuition paid for future lessons will be refunded, less the completed lesson, the annual registration fee, and any nonrefundable payment-processing charges.
After the first-week trial period, tuition and fees are nonrefundable if a student withdraws, stops attending, changes activities, experiences a scheduling conflict, or is dismissed for conduct or nonpayment. The sole exception is a documented medical condition that prevents the student from attending lessons or playing the instrument. Any approved medical refund is limited to unused future tuition; completed lessons, registration fees, purchased materials, and nonrefundable processing charges are not refunded.
6. Attendance, Absences, and Makeup Lessons
Regular attendance is required. Families should report an absence as early as possible through the Program's designated communication method. Students who are ill, contagious, or unable to participate safely should remain home. Late arrival does not extend the scheduled end time.
Group and duo lessons. A student absence does not create a right to a makeup lesson, credit, or refund, and the lesson may proceed for the other enrolled student(s). If the instructor or Program cancels or reschedules the entire class, the Program will arrange a makeup lesson, credit, or other reasonable remedy.
Private lessons. An excused absence is an illness, emergency, required school obligation, or other significant circumstance reported before the scheduled lesson whenever reasonably possible. For an excused absence, the instructor will schedule a makeup lesson, subject to instructor and campus availability. Makeup lessons for unexcused absences or no-shows are at the instructor's discretion. Makeup lessons must be completed within the applicable term unless the Program approves otherwise.
7. Scheduling, Instructor Changes, and Campus Closures
Lesson days and times are announced as placements are confirmed. Private-lesson families may coordinate recurring times and approved changes directly with the assigned instructor, but all on-campus lessons remain Program lessons and must occur in authorized spaces and times. Schedule changes must be reported to the Program when requested.
The Program may substitute an instructor, combine or reorganize groups, change a room, or adjust a schedule when reasonably necessary. Lessons affected by instructor illness, campus closure, severe weather, emergency conditions, or events beyond reasonable control may be rescheduled, credited, moved online if appropriate and approved, or otherwise addressed by the Program.
8. Instruments, Music, and Practice
Students must have access to an appropriate instrument in good working order for lessons and home practice unless the Program confirms another arrangement. Families are responsible for instrument rental, maintenance, repairs, accessories, and assigned books or music unless stated otherwise. Teachers select materials based on age, level, and coordination with the student's band or orchestra director where applicable.
9. Student Conduct and Learning Environment
Students must follow instructor directions, CSN campus rules, and standards of respectful conduct. Bullying, harassment, threats, unsafe behavior, intentional property damage, repeated disruption, or misuse of instruments or facilities is prohibited. The Program may contact the parent, require early pickup, place participation on conditions, suspend, or dismiss a student when necessary to protect students, staff, or the learning environment.
10. Arrival, Pickup, Supervision, and Emergency Information
Parents and guardians must follow all CSN check-in, campus-access, dismissal, and pickup procedures and provide accurate authorized-pickup and emergency-contact information. The Program is responsible for supervision only during the student's confirmed lesson and any specifically approved transition period. Families remain responsible for the student before check-in and promptly after dismissal.
In an emergency, the Program or CSN may contact emergency services and the people listed on the registration. The parent or guardian is responsible for resulting medical costs. Families must disclose allergies, medical conditions, accessibility needs, or behavioral information that is reasonably necessary for safe participation. The Program does not provide medical care and cannot guarantee an allergen-free environment.
11. Instructor and Family Communication
Parents may communicate with the assigned instructor about lesson content and private-lesson scheduling. Billing, enrollment, group placement, complaints, instructor changes, and formal schedule changes must be directed to the Program. Instructors may not independently change Program tuition, collect on-campus lesson payments, transport students, or arrange off-campus Program activities without written Program authorization and parent consent.
12. Performances, Photography, and Recordings
Recitals and concerts may be offered as part of the learning experience. Participation may require separate rehearsal, performance, attire, or venue instructions. Any permission to use a student's name, image, voice, performance, photograph, or video for public promotion will be handled through a separate media-consent choice. Declining promotional media consent will not affect lesson placement. Incidental audience recording at public performances cannot always be controlled by the Program.
13. Nondiscrimination and Reasonable Accommodations
The Program seeks to provide an inclusive learning environment and will consider reasonable accommodation requests. Families should contact the Program before placement when a student needs an accommodation. Some requests may require coordination with CSN, the instructor, or the family and remain subject to safety, staffing, facility, and program limitations.
14. Electronic Communications and Signatures
The family agrees that registration confirmations, schedules, invoices, policy notices, and other routine communications may be sent electronically to the contact information provided. Electronic acceptance and signatures have the same effect as handwritten acceptance to the extent permitted by law. Families must keep contact information current.
15. Program Decisions and No Guarantee of Results
Music instruction depends on attendance, practice, readiness, and individual development. The Program does not guarantee placement, advancement, auditions, ensemble seating, grades, awards, or any particular musical outcome. Program decisions concerning placement, grouping, instructor assignment, and safety are made in good faith based on available information and operational needs.
16. Changes, Governing Law, and Contact
These Terms are governed by Florida law. If any provision is unenforceable, the remaining provisions remain in effect. The Program may update these Terms prospectively; material changes will be posted with a revised effective date and communicated to currently enrolled families when appropriate. Questions or notices must be sent to ismail@naplesmusicacademy.com. Nothing in these Terms waives rights or responsibilities that cannot lawfully be waived.
